How Nuqleus captures the data
The Nuqleus data trapping application, Nuqleus Desktop, is a small Windows based application installed on a staff member’s PC and incorporates Windows Authentication for enhanced End User security and a hot-desking capability.
Nuqleus information is collected with minimal staff member effort following the completion of one task, prior to starting work on the next task, through a flexible and intuitive user interface with a very low user training requirement.
The Nuqleus Desktop application’s user interface captures the required information quickly and accurately. Client experience has shown that capturing a typical set of Process metrics and up to around four layers of ‘drill-down’ questions takes no more than 3-4 seconds per Task.
Undertaking around 60 Tasks in a typical day would translate into 210 seconds, or 3.5 minutes of a staff member’s working day. This is the staff overhead of using Nuqleus to capture the metrics required.
From a quality control perspective, there are two main ways in which a staff member’s use of Nuqleus can be audited to ensure data confidence:
- Within the standard reporting capability of Nuqleus, indicators are included detailing each user’s;
a) “average answer time” how long the user is taking to record the Process metrics (tasks) and ‘drill-down’ questions,
b) “answer accuracy” the number of occasions that the user does not fully complete the “drill-down” questions prompted.
Both of these indicators are internally captured by Nuqleus and are important quality control factors in ensuring data confidence.
- Scheduled use of a quality auditing approach where a staff member’s day is reported in maximum detail (chronological ordering of captured data) and checked to see if that information captured follows a consistent and reasonable pattern. Nuqleus’ reporting capability easily identifies deliberate abuse by a user when capturing data as each task is being recorded in real time.
Full customisation of the Nuqleus Desktop settings and features is provided, even on a per End User basis. This allows for work teams to be set-up with either standardised or individual settings.
The Nuqleus Data Trapping capability...
- Nuqleus automatically Logs On when the user’s PC starts, and immediately commences timing a task.
- The user activates Nuqleus when a task has been completed, select the Task from a list, and answer any ‘drill-down’ questions.
- Upon completion of the task record, Nuqleus immediately starts timing the next task.
- The intelligent interface can be customised to provide reminders and alerts, and will allow for interruptions to incomplete tasks
- A further Nuqleus Data Trapping application, My Nuqleus TimeSheet, is a web based application designed to detail each staff member’s working hours to provide a record of historical and planned staff resources.
- The hours that a staff member has actually worked is integrated from the data captured by the Nuqleus Desktop, or input manually, and detailed along with staff contracted hours, hours lost to absences, and additional hours worked such as overtime and flexi time.
- A full record of these staffing hours is a foundation requirement in being able to undertake Staff capacity planning with some degree of science and accuracy, in order to ensure that staffing numbers are very closely matched to workload.
- A Team Leader or Supervisor would typically input or reconcile each staff member’s TimeSheet data to ensure all hours are accounted for. Access to the application is fully incorporated with the user’s Windows NT profile for enhanced security.
Additionally, customisation of the My Nuqleus TimeSheet options, menus and features is provided on a per User basis. For example, security based features may permit a Team Manager to view only their own Team information, and may also restrict access to view only certain levels of detail.
